Create a camp and set the lodging and rooms
Club → Camps is where you create residential training camps. Camp management is separate from away trip management: they are two different modules. Use away trips for day trips and short tournament travel, and camps when the squad stays overnight.
Create a camp
- Open "New camp".
- Enter the camp name, target team, venue and start/end dates. The itinerary gains one day block per day of the camp.
- Fill in the lodging: name, address, phone number, check-in/check-out times and meal plan (no meals, breakfast only, half board or full board).
- Optionally add the meeting place, meeting time, expected finish time, RSVP deadline, participation fee and notes.
- Choose the accompanying coaches. Only they and the club representative can view participants' health information.
- Once published, the target players and guardians are asked whether they will attend.
Adding the lodging's phone number is worth it: it appears on the handbook share link, so guardians can call the lodging directly in an emergency.
Build the day-by-day itinerary
A camp itinerary is organised by day. Add rows of time, activity, place and notes under the day 1, day 2 and day 3 blocks. The time can be left blank.
Changing the camp's length adds or removes day blocks. Rows left outside a shortened schedule are marked "out of range", so either extend the dates again or delete those rows.
Assign the rooms
- In room assignments, register the rooms of the lodging (name, capacity, notes).
- Assign attending players to the rooms. Remaining beds are shown per room.
Assignments beyond capacity are refused. When an RSVP changes to "absent", that player's bed returns to the pool automatically. If you also travel by car, the vehicles and carpool sheet work exactly as they do for away trips.
Handbook and fees
What you entered becomes the handbook. Print it, or issue a share link so guardians without the app can read it. If a participation fee is set, you can bill everyone who answered "attending" in one go, and reconcile payments or send reminders on the fees screen.
Delegate to the coach in charge
Camp management is also a delegatable module. Give the permission to the coach leading the camp and they can run it from creation to wrap-up. Issuing the fee invoices additionally requires the fee-side permission.
Allergies, regular medication, chronic conditions and emergency contacts are stored encrypted, and only this camp's accompanying coaches and the club representative can view them. Revealing them is recorded in the audit log. They are deleted automatically three months after the camp ends.
