Create an away trip and collect RSVPs
Club → Away trips is where you create away trips for tournaments and friendly matches. Sign-ups, itinerary, packing, carpools and fee collection all live in one place. For residential training camps, use camp management, which is a separate module.
Create an away trip
- Open "New away trip".
- Enter the trip name, target team (the whole club is also an option), destination and start/end dates. For a day trip, use the same date for both.
- Optionally add the meeting place, meeting time, expected finish time, RSVP deadline, participation fee and notes.
- Choose the accompanying coaches. Only they and the club representative can view participants' health information.
- Add the itinerary and packing list. Packing items can be marked required or optional.
- Once published, the target players and guardians are asked whether they will attend.
Publishing sends an in-app notice and a push notification to the target players, and the trip appears on the club calendar as an event for each of its days.
Reading the status

The list shows "attending ◯ / no reply ◯ (◯ invited)", so you can see at a glance whose answer you are still waiting for.
Offered cars and carpool assignments
Guardians can answer "I can drive / I can take ◯ people" along with their RSVP. The offered cars panel totals how many can drive, how many seats were offered, how many are attending and how many are still unassigned.
- Register vehicles — private cars, buses, trains — with capacity, driver, departure place and departure time.
- Use the carpool sheet to assign attending players to those vehicles.
Assignments beyond capacity are refused. When an RSVP changes to "absent", that player's seat returns to the pool automatically. Capacity cannot be reduced below the number of people already riding, so remove riders first.
Share the handbook
What you entered becomes the handbook, ready to print. For guardians without the app, issue a handbook share link. You choose the validity when you issue it and can revoke it at any time. The number of views is recorded.
Bill the participation fee
If the trip has a fee, you can issue the participation fee invoices in one go to every player who answered "attending". They go into the club fee ledger, so reconciling payments and sending reminders happen on the fees screen. The due date is the trip's start date.
Pressing the button repeatedly never double-bills the same person (press it again after more replies arrive and only the new participants are billed). Draft or cancelled trips, and trips without a fee, cannot be billed.
Delegate to the coach in charge
Away trip management is a delegatable module. Give the permission to the coach who leads that age group and the owner no longer has to step in every time. Issuing the fee invoices additionally requires the fee-side permission.
Allergies, regular medication, chronic conditions and emergency contacts are stored encrypted, and only this trip's accompanying coaches and the club representative can view them. Revealing them is recorded in the audit log. They are deleted automatically three months after the trip ends.
